Complete Time Tracking Professional 3.03 is a software that records the time that you or employees work on various projects or tasks for your customers, your company, or yourself. Time tracking software automates this process by capturing the time electronically, providing a quick and conventient way to record, view, adjust and report time, reducing errors and the time and effort required when compared to manual recording methods.

There are two main uses for time tracking:

  • Billable Hours. If you charge out time to customers then time tracking allows you to capture and report on all hours that can be billed to the customer.
  • Project Analysis. If you work on or manage projects then time tracking provides transparency to the labor involved in completing the project and can show you exactly where the time is spent, by task, by staff member or by date. An analysis of actual time required to complete the various tasks in a project is extremely useful in improving future project estimations.

  1. Time Tracking
    • Automatic and Manual
      • Complete Time Tracking allows you to track your time automatically using a stop-watch time recorder or manually by entering the start time and end time or duration. Using a combination of the two is common as occasionally you need to manually enter previous time worked away from your computer such as meetings at the start or end of the day.
      • The compact main window is the heart of time tracking and provides easy access to configuring categories, editing recorded time, and generating reports.
    • Automatic Time Tracking
      • The Start/Stop button allows you to easily record time to a selected category (customer, project, task and so on).
    • Manual Time Tracking 
      • The start time and end time or duration can be entered manually in many formats. 
    • Continuous Time Recording
      • Continuous time recording allows you to simply switch between categories in automatic time tracking mode without having to stop and restart the timer. Time will automatically stop recording on the original category and start recording on the new category.
    • Idle Time Prompt 
      • When you use the automatic time tracking mode, Complete Time Tracking monitors your idle time, the time that you are not using the computer. Complete Time Tracking can prompt you with what to do with the idle time, or to simply stop the timer, once the configured idle time interval is reached
      • The idle prompt window displays three options so that you can choose how to handle the idle time:
      • Add it to the current time entry: The original time entry is extended/continued with the idle time period.
      • Ignore the time (leave a gap): The original time entry is stopped and the idle time is not recorded.
      • Create a new time entry: The original time entry is stopped and a new time entry is created for the idle time period.
    • You can also select whether to continue or stop the timer and adjust the time entry start or end time.
    • Instant Access
      • With the unique window dock and hide feature in Complete Time Tracking tracking your time has never been easier. Complete Time Tracking provides immediate access to the time tracking window without obscuring other windows and without mouse clicks. The window hides off the edge of your screen, automatically hiding when the mouse is moved away and showing itself again when you move the mouse near the hidden location. There are three alternative window display and hide modes:
        • Dock and hide at edge of screen
        • Hide to system tray
        • Normal application (taskbar button, use minimize to hide)
      • The time tracking window shows you at a glance the category that you are tracking time to, the current time, recorded start time, duration, income earned in real-time (if an hourly rate is set for the category), and the total time worked on the current day. You can also log work notes with the time and track work progress
      • Automatic time tracking is as simple as 1 2 3
        • Move the mouse over the hide location to show the time tracking window.
        • Select a new category using the popup category menu.
        • Move the mouse away to hide the window and continue working.
      • The time tracking window shows the following items at a glance: Current time, start time and end time, duration of currently recording time or total duration for the current day and Income earned, updated in real time.
    • Add Notes 
      • You can add work notes to the time recorded and set percent complete progress. When a category is marked as 100% complete it can be automatically hidden from selection.
      • The selected category, time notes and category percent complete are recalled at your next time tracking session, allowing you to easily continue your work notes and update progress.
    • Edit Recorded Time 
      • Previously recorded time can be edited simply and quickly. The category, user (Professional edition), start and end time, duration, hourly rate, percentage complete and work notes can all be edited.
      • Time gaps and overlaps can be easily identified and corrected.
      • The edit recorded time window allows you to adjust previously recorded time.
      • Note: User selection shown in this screenshot is only available in the Professional edition of Complete Time Tracking when logged in as a user with security access to view recorded time for all users.
    • Offline Time Tracking
      • Offline time tracking allows you to record time entries and create categories without a connection to the central server computer.
      • If you work out of the office, travel or work from multiple locations you can use the offline time tracking feature to track your time directly to your own notebook/laptop computer where ever you go.
      • If you work remotely on a permanent basis, such as at a remote office, and have a temporary or slow connection to the central server computer you have the option of tracking your time directly to your own desktop computer at the remote location which will improve responsiveness and reduce connectivity errors and therefore provide a better user experience.
      •  Periodically, when you are back at the office or a connection to the central server computer is available, you can synchronize your changes with those made by other users on the server. The synchronization is bi-directional. Your changes are saved to the server and changes made by other users are retrieved from the server and saved back to your computer. 
  2. Reporting
    • My Recorded Time Reports
      • Users can generate reports for their own recorded time (in the Professional edition this can be disabled on a per-user basis if required).
      • Several report types, summarized into the following list, provide essential time reporting, showing exactly where and when time was spent, by date and/or by category (customer, project, task and so on).
        • Weekly Timesheet
        • Summary by Date, Category, Date and Category, Category and Date
        • Detail by Date or Category
      • Example: Summary by Category. In the Summary by Category report the total duration of time is shown for each category and sub-category, for example customers, projects and tasks. 
      • You can define the level of category sub-totaling shown in the reports. For example, you can sub-total by customer, by customer and project, by customer, project and task, and so on.
    • Manager Multi-User Reports 
      • In the Professional edition of Complete Time Tracking the recorded time for all users is recorded centrally. This facilitates aggregate reporting where any report can optionally summarize or detail time recorded by all users.
      • Security access to view and edit recorded time for all users and to generate aggregate reports can be controlled on a per-user basis.
      • Additional user-specific summary and detailed reports are also included.
      • Example: Summary by User and Category. In the Summary by User and Category report the total duration of time is shown for each user and category (customers, projects, tasks and so on). 
      • Additionally users can submit their own reports, such as weekly timesheets, to the manager. Their name can be optionally displayed on the report so that the manager can identify which staff submitted the time report. 
    • Weekly Timesheet Report
      • For companies or projects with formal time sheet requirements it is a simple process to produce a detailed weekly timesheet for printing, emailing, publication on your Intranet, or importing into your project management system.
      • Example: Weekly Timesheet. The Weekly Timesheet report shows all time entered for categories and sub-categories for the selected week. 
    • Summary Reports
      • Summary reports show sub-totaled durations of time (and optionally amount earned based on hourly rates) recorded for a selected date range, category (or all categories), and user (or all users) (Professional edition). The following summary reports are provided.
        • Summary by Date
        • Summary by Category
        • Summary by Date and Category
        • Summary by Category and Date
        • Summary by User (Professional edition)
        • Summary by Date and User (Professional edition)
        • Summary by Category and User (Professional edition)
        • Summary by User and Date (Professional edition)
        • Summary by User and Category (Professional edition)
      • Example: Summary by Date. This Summary by Date report shows the total duration of time recorded and the amount earned for each day.
    • Detailed Reports
      • Detail reports show information such as individual start and end times for recorded time for a selected date range, category (or all categories), and user (or all users)

        • Detail by Category
        • Detail by User (Professional edition)
        • Full Details (useful for exporting report data to file)
        • The first three detail reports include sub-totals.
      • The full details report shows all details of each recorded time entry including the category hierarchy, user who recorded the time (Professional Edition), the date and start and end times, duration, hourly rate, category percent complete and recorded time work notes.
      • Preview, Print, Save 
        • All summary, detail and timesheet reports can be previewed, and printed to any Windows printer. The preview allows you to select various page sizes and print settings.
        • Formatted reports can be saved in several formats including:
          • PDF (Adobe Acrobat)
          • Microsoft Excel Spreadsheet
          • HTML (web page)
          • RTF/Microsoft Word (Rich Text)
          • Text
          • Windows Metafile (WMF)
          • The saved report can then be archived, emailed, uploaded to a web site, or inserted into another document.
  3. Data Export
    • Data View
      • The in-built data view provides a quick view of report data allowing all or part of the data to be copied to the clipboard for pasting into E-mail, spreadsheet or other applications.
      • Report data can also be exported from the data view. 
    • Export Data
      • Report data containing summary or detailed information can be exported to file in several file formats including:
        • Microsoft Excel
        • Microsoft Word*
        • Comma separated (CSV)
        • HTML
        • Text
        • XML 
      • For Example: If you have your own complex billing calculations, such as discount rates for high volume work, you can export the time tracking report data to file and import it into other applications such as Microsoft Excel to define your own billing calculations.
  4. Customization
    • Flexible User Defined Categories
      • Track time to flexible user-defined categories such as customers/clients, projects/jobs, tasks, sub-tasks, systems, products, services, or any other items that you choose. Categories may contain sub-categories to any level that you need.
      • Unlike other time tracking programs you are free to create whatever hierarchy of categories that you need. For example, if you need to track time only to customers, or do not have external customers and only need to track time to projects then Complete Time Tracking can be configured to do exactly that.
    • Category Templates 
      • If many of your categories follow the same general structure, such as a common list of tasks for each project, you can create category templates which define the common structures. A complete task list is automatically created when you create a new project from the template.
      • If you later add a new task to the project template you can optionally add the task to all existing projects based on the template.
      • Categories and their subcategories can also be copied to easily duplicate a project. 
    • Billing
      • You can track billing amounts for time entries by setting hourly charge rates for each customer or project (or any defined category) for project-based billing.
      • Alternatively you can set hourly charge rates for each user/staff member (Professional edition) to charge staff out at different rates.
      • By creating a category for each customer (and optionally project) you can easily generate billing reports, either for all customers or for an individual customer, with sub-totals by date or by project.
      • By setting staff cost hourly rates you can track the labor cost for projects and tasks and compare it with the charge amount to determine profitability (Professional edition).
    • Custom Category Codes 
      • If you also work with a separate project management or accounting system you can assign the codes used in that system to the categories that you define in Complete Time Tracking.
      • The category codes appear when selecting categories and are displayed in reports, allowing you to easily match the information between Complete Time Tracking and the external system.
    • Hide Unused Categories 
      • When a category is no longer actively used, such as a category representing a project and the project is complete, the category can be hidden from view to improve the usability of category selection.  
      • You can quickly show hidden categories if necessary and categories can be easily made visible if they become active again.
      • Set Project and Task Percent Complete
        • By setting the percent complete for a category you can track its progress. An optional setting can set the category to be hidden from time tracking selection when you mark the category to 100% complete. 
    • Flexible Time Durations
      • You can select the time duration display format used to show recorded time durations in various windows, and in reports and exported data.
      • The duration for recorded time can be manually adjusted to allow you to implement rounding rules, such as rounding up time to intervals such as 0.1 hours, 15 minutes and so on.
    • Many Time Entry Formats
      • For convenience start and end times manually entered can be specified in more than 10 different formats, many of which are shown in the following list.
      • 9, 9am, 930, 9:30, 09:30, 9.30, 93045, 9:30:45, 9:30AM, 9:30 am
      • Additionally, times crossing midday are conveniently interpreted as pre-midday and post-midday even when you don't specify it explicitly. For example, a start time of 9 is interpreted as 09:00 (9AM), and an end time of 2 in this situation is interpreted as 14:00 (2PM), not 02:00 (2AM). 
  5. Multi-User Functionality
    • Central Database
      • Users (employees, contractors and other staff) log in to a central time tracking database using their individual secure password.
      • All time recorded by the users is stored in this central database which facilitates easy aggregate reporting of time recorded by all users to customers and projects and provides a convenient single backup location. Multiple databases are supported to facilitate totally separate user groups and shared category lists.
      • The database server has a low memory utilization and high performance and supports thousands of concurrently logged in users when the temporary database connections option is used. Multiple servers are supported.
    • Secure User Login
      • Each user is assigned an individual login name and password. Passwords are stored and transmitted securely and users can change their password at any time. Managers and other authorized users can see which user recorded each time entry and several summary and detail reports also list time by user.
      • The screenshot on the right shows the login window. The user is required to login at the start of each session (such as the start of the day) to record and edit time, generate reports and so on.  
    • User Configuration and Password Setting
      • User accounts can be added, modified and deleted only by authorized users. Passwords can be easily reset and user details such as the user login name, persons real name, and security actions can also be modified.
      • The screenshot on the left shows the User Configuration window. The users real name, login name, password and security actions can be changed from this window.
      • A user can be deleted from the system when they no longer require system access or alternatively a user can be deactivated.
    • Per User Security Access Control 
      • Advanced security access control allows per-user configuration of access to 40+ features, enabling managers and system administrators to specify which users are able to edit and delete their recorded time, view recorded time from other users, have access to various system functions, and so on.
      • The following list outlines some of the security categories and actions available.

        • Time Tracking [automatic and manual time tracking, offline time tracking and more]

    • Deactivate and Reactivate Users 
      • Users such as contractors and temporary staff can be conveniently deactivated to retain their recorded time yet prevent log in access to their account. Deactivated accounts can be easily reactivated when required.
      • When a user account is no longer actively being used it can be deactivated and by default will be hidden from selection. If the show inactive users option is selected then deactivated users will appear, allowing their recorded time to be edited and the user reactivated.
  6. System Functions
    • Database Backup and Restore
      • The time tracking database containing your defined categories and all recorded time can be conveniently backed up or restored at any time.
      • The database is backed up to a single file in a compressed format making it easy to transfer to a backup medium such as DVD-R, CR-R, USB key, tape, second hard-disk or other backup device.
      • Built-in automatic database versioning seamlessly upgrades previous version databases when they are restored from backup to provide full backwards compatibility. 
    • Auto Start
      • The main time tracking window can be set to automatically start when you log in to Windows, providing convenient access to begin their time recording.
      • Time automatically stops recording when Complete Time Tracking is closed, Windows is shut down, or the system placed into standby or hibernate modes. 
    • Server Status (Professional edition)
      • The built-in server status window, accessible only to authorized users such as system administrators, displays essential details of the central database server including the server status, number of connections from users, and memory usage.
      • The server can be stopped and restarted allowing the time tracking system to be taken offline for backup or server maintenance.
      • This example server status window shows that the server has been started and there are currently 4 connections.
    • Server Manager Application
      • The separate server manager application provides convenient alternative access to the server status and control and is useful in disaster recovery situations.
      • The server manager has backup and restore functions and can be used to restart the server if you are not logged into Complete Time Tracking. It is also used to manage the databases.
      • This example server manager window shows the Databases tab which lists the separate Complete Time Tracking databases that are available. 
    • External Reporting and Database Access (Professional edition)
      • Complete Time Tracking uses the Firebird database engine to store the users, categories, time entries and other information. Firebird is a fully featured, widely used, high performance SQL open source database.
      • Direct access to the Complete Time Tracking database is possible using ODBC, JDBC or ADO.NET with free drivers and data providers available from the Firebird web site. These connectivity options are commonly supported by third party data applications such as reporting systems.
      • There is one low-level read-write and two read-only users in the Complete Time Tracking database to facilitate updates and reporting by external applications. Of the two read-only reporting users one has a full view of data and the second a limited view. This provides some level of security when providing direct access to the database to different staff and systems.
