Train Track 2009 7.3 is a flexible application that allows you to assign required trainings by department, job title, individual employee name, hire date, or any combination. You may except individuals from required trainings. It allows you to quickly determine what trainings are needed, and provides documentation of compliance with training requirements. It's easy to learn and use, and you can modify the program to meet your needs.

View trainings required, needed, scheduled, completed, failed, or expired. Use the report wizard to design your own reports, and save them to print again. Add your own company logo to over 50 standard reports. Import/export to Excel or other file formats, or send email notifications to employees or supervisors. Approve trainers, schedule classes, print sign-in sheets, and allow employees to take exams electronically.

Track total training hours and cost. Track training modules with multiple components or training series. Automatically require re-training for document revisions. Attach a document to each record. Assign user access levels. Track unlimited employees, and maintain historical data.

Major Features:

  1. Training records
    • Keep track of all available trainings with title, number, revision, type, hours, expiration, and exam requirements.
    • Track trainings needed, scheduled, completed, failed (if an exam is required), expired, and soon to expire.
    • View the status of all employees required to complete each training.
    • View a list of all non-expired completions, or select to show the history of all completions.
    • Set up expiration periods for each training, or set them to never expire.
    • Link a document to each training record, and link individual documents to each training completion record.
    • Track training revisions, and choose to automatically expire old trainings when a new version is released.
    • Add a list of notes to each training.
    • Enter completion records for groups of employees all at once.
    • Set a training's status to "removed" to keep the data but not include it in reports..
  2. Employee records
    • Record employee names, ID numbers, phone, email, hire date, job titles, department, supervisor, employee type, shift, location, qualifications and notes. Link a document to each employee record.
    • Assign multiple job titles to each employee.
    • View the status of all required trainings, or view just the needed trainings, or just the completed trainings.
    • Display only non-expired completions, or a history of all trainings completed.
    • Add new job titles, departments, or employee types just by typing them into the field, or importing them witn your employee data.
    • Select supervisor from the list of employees.
    • Track skills, education, qualifications, or certificates.
    • Add a list of notes for each employee.
    • Set an employee's status to "removed" to keep the data but not include it in reports.
  3. Import and export
    • Data can be imported from another program or file--just paste it into the Excel® template.
    • Export data to Excel®.
    • Export any report to Excel® or other standard file formats, or send it as an email attachment.
  4. Requirements
    • Assign required trainings by job title, department, individual, hire date, or any combination.
    • Select "All" to automatically require a training for everyone.
    • Add requirements for an entire group of employees at once by checking them off from a list, or by selecting a department or job title.
  5. Schedule trainings in advance
    • Set up approved trainers and schedule classes.
    • Print sign-in sheets.
    • Mark the training as completed for the entire class at once, or individually. You may also pick a group of employees, such as a department, then remove individuals from the list, and mark the rest complete.
  6. Completed trainings
    • Insert trainig completion records for entire groups of employees at once.
    • Expiration dates are automatically calculated.
    • Display only non-expired completions, or a history of all trainings completed.
    • Double-click on the completed date field to automatically insert today's date.
    • Retain training history when an employee completes a training multiple times over the years.
  7. Exams
    • Store exam questions and answers.
    • Allow employees to take exams electronically.
    • Electronic exams are automatically scored.
  8. Reports
    • Add your own company logo to the reports.
    • Select from over 50 standard reports to view or print.
    • Select date ranges from pop-up calendars for selected reports.
    • Use the report wizard to design an unlimited number of your own reports, and save them to print again.
  9. User access levels
    • Authorized users are authenticated using their Windows® login; no need to type a separate user name and password.
    • Employees may view their own training status or log on to take exams.
    • Supervisors may generate reports for their employees.
    • Read-only users may view but not edit records.
    • Standard users may edit records.
    • Administrators may edit users.
  10. General
    • Sort or find records on any screen by any field.
    • Re-arrange columns, and sort by multiple columns.
    • Double-click on a field to open the related record.
    • A back button allows you to return to the previous record on the previous screen.
  11. Installation
    • Installs on a network drive for multiple user access.
    • The installation does not make any changes to your computer operating system or leave any stray files behind.
    • The free trial includes a copy of the database with sample data to make it easier for you to test.
    • The included "Quick Start Guide" can have you up and running in minutes.

Enhancements:

  • Import Updates
    • When you import employe records from your Excel template, any information that has changed for your existing employees will be updated to their records in TRAIN TRACK. Any new employees will still have their record added.
  • Performance Enhancements
    • Some screen elements have been re-designed to improve performance. Color coding on the training detail screen, status tab has been removed, as well as some of the automatic screen refreshes.
